Preserve the scope and condition evidence while the contractor and property manager can still explain the work.
Start with the condition before work
Ask the manager to write a short account of the problem. Identify leaks, damaged areas, prior patching, inspection findings and any casualty event. Keep dated photographs and the original recommendation, not just the final invoice.
A description of the original condition helps the reviewer understand whether the project addressed limited damage, a pre-existing problem or a broader restoration. It also creates a record of what the contractor actually encountered.
Describe the roof components
Separate the membrane or covering from insulation, decking, structural members and related drainage work. Record the affected area and the portions retained. Ask the contractor to explain changes in specifications and why they were needed.
- What layers or structural components were removed?
- What percentage or area was affected, and how was it measured?
- Did the work add capacity, change use or address structural damage?
- Were related interior repairs or other improvements part of the same project?
Keep the retirement question separate
If a component was removed, identify it in the asset history. Ask the CPA whether a partial disposition review is appropriate for the disposition year. The replacement invoice does not establish the retired component’s remaining basis.
Keep removal records, original construction or acquisition information, and the prior depreciation schedule together. Missing records should be flagged early so the reviewer can assess whether an appropriate basis method is supportable.
Finish with a usable handoff
Send the project narrative, contract, change orders, invoices and photos as one package. Include the tax year and expected filing date. Ask your reviewer to distinguish the new expenditure’s treatment from any old-asset retirement and related removal costs.
The goal of this preparation is a supported conclusion. It is not an assumption that every roof replacement is immediately deductible.
